The HR Assistant provides hands-on Human Resources and full life-cycle recruiting support for the corporate office. This role supports the full employee lifecycle, including recruiting, onboarding, HRIS data management, benefits administration, compliance reporting, employee engagement, and general HR operations.
This position is ideal for a detail-oriented HR professional who enjoys both recruiting execution and HR administration in a fast-paced environment. Bilingual proficiency in English and Spanish is strongly preferred.
Key Responsibilities
Employee Records, Onboarding & Offboarding
Maintain and update employee records within the HRIS and internal systems in compliance with company policies
Support new-hire onboarding by preparing documentation, collecting required forms, and entering employee data into the HRIS
Collect and process I-9 documentation and complete E-Verify requirements
Coordinate and conduct new-hire orientations
Support employee offboarding, including documentation, system updates, and coordination with internal teams
Recruiting & Talent Acquisition (Full Life-Cycle)
Manage full life-cycle recruiting for roles across the organization
Post, manage, and close job openings in the Applicant Tracking System (ATS)
Screen candidates and conduct initial outreach and communication
Schedule interviews and coordinate with hiring managers and internal stakeholders
Manage the interview and offer process to ensure a positive candidate experience
Prepare and send offer letters, employment agreements, and compensation documentation
Initiate, monitor, and audit background checks during the offer stage
Promote the ScentAir employer brand through professional and consistent candidate engagement
Maintain accurate recruiting data and reporting within the ATS
Benefits, Employee Support & Engagement
Assist with benefits administration, including new-hire benefit enrollments and related support
Respond to employee inquiries regarding HR policies, benefits, and procedures, escalating as appropriate
Coordinate training sessions, performance review cycles, and employee engagement activities
Support employee engagement initiatives and internal HR programs
Compliance, Reporting & HR Operations
Perform HRIS data entry and maintenance, including employee status changes
Prepare HR reports and assist with audits and compliance documentation (OSHA, EEO, internal audits)
Ensure HR processes align with federal, state, and company policies
Provide HR data and reports as needed for leadership and business partners
Create and maintain organizational charts and HR documentation
Provide general administrative support to the HR team and assist with special projects as assigned
Qualifications & Skills
1–3 years of experience in Human Resources, HR administration, or a related role
Working knowledge of general HR practices, processes, and compliance requirements
Experience with HR software systems and applicant tracking systems (ADP WFN & JazzHR experience preferred)
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Strong interpersonal, written, and verbal communication skills
Exceptional organizational skills with high attention to detail
Ability to manage confidential information with professionalism and discretion
Ability to multitask and work effectively in a fast-paced environment
Bilingual proficiency in English and Spanish preferred
