The Fragrance Portfolio Manager is responsible for overseeing the company’s global fragrance portfolio and ensuring accurate, compliant, and efficient management of all fragrance-related data and processes. This role combines portfolio ownership, project management, regulatory coordination, and cross-functional collaboration to maintain the integrity of fragrance information across multiple platforms and regions.

The Fragrance Portfolio Manager will lead fragrance change initiatives, manage system updates in Salesforce and Syteline (ERP System), and work closely with Operations, Regulatory, and external fragrance partners to execute changes within established timelines.

Success in this role requires strong attention to detail, a proactive approach to problem-solving, and the ability to manage multiple priorities and stakeholder relationships in a fast-paced, global environment.

Job Responsibilities:

  • Manage the global fragrance portfolio, ensuring accuracy and consistency across all systems and regions; partner with regional teams on local changes.
  • Oversee fragrance-related projects with heavy focus on project management, including regulatory modifications, scent testing coordination, and implementation of system updates.
  • Develop project-specific timelines and milestones; identify risks and implement contingency plans to meet deadlines.
  • Initiate and track fragrance modifications with fragrance houses, ensuring timely delivery of samples and documentation.
  • Lead Fragrance Change Notice (FCN) meetings across global regions to align on fragrance changes and ensure smooth execution of updates.  Document and follow up on cross-functional action items.
  • Review, file, and maintain regulatory documents for compliance, ensuring all records remain current and accurate; cross-reference regulatory documents with Salesforce data entry to ensure accuracy..
  • Set up and maintain fragrance profiles in Salesforce, ensuring complete and accurate documentation.
  • Coordinate with Operations for Syteline setup and Bill of Material (BOM) changes.
  • Track and maintain accuracy of fragrance set up across multiple platforms and global regions.
  • Manage changeover timelines in Salesforce and Syteline to ensure seamless transitions.
  • Create and maintain process documentation for all fragrance management functions.
Qualifications & Skills
  • Education: College degree required
  • Experience:
    • 3+ years in project management.
    • Experience in regulatory compliance, chemical industry, consumer goods, or operations.
    • Experience in fragrance or personal care industry experience a plus but not required.
    • Knowledge of regulatory compliance related to fragrance is a plus but not required.
  • Technical Skills:
    • Proficiency in Salesforce required, familiarity with ERP systems (Syteline preferred), experience with ClickUp preferred.
    • Able to create and manage timelines independently.

    • Excellent communication and collaboration skills to work with global teams and external partners.
    • Highly detail-oriented with exceptional accuracy in data entry and documentation across multiple systems.

    • Ability to juggle multiple priorities with tight deadlines in a global environment.
    • Able to build out your own timeline with milestones and contingencies.

    • Ability to travel to work with vendors or customers as needed – possible travel 2-6 times a year
    • High speed internet capable of video calls.
