ScentAir Technologies LLC

AI Business Process Analyst - Charlotte, NC

Charlotte, NC - Contracted to Full Time

ABOUT THE ROLE

ScentAir is looking for an AI Business Process Analyst to improve, optimize, and automate how work gets done across the company. You will study processes in every business function, measure what they cost, and find the right fix for each one, whether that is simplifying the process, changing how a system is set up, automating the workflow, or applying AI. You will build simpler solutions yourself, work with IT and delivery partners on larger ones, help employees adopt new ways of working, and prove the results.

This is a business-process improvement role. AI is one of the tools, not the starting point. It covers finance, customer service, order management, supply chain, sales, marketing, HR, and IT. It is not a data scientist, software developer, IT project manager, or help desk role.

KEY RESPONSIBILITIES

Analyze and improve processes about 35% of time

  • Work alongside teams in every business function to observe how work actually gets done and find re-keying, waiting, workarounds, and tasks that depend on a single person.

  • Document current processes and measure their cost: volume, time per task, error and rework rates, and the people and systems involved.

  • Use reports and data from company systems (ERP, CRM, e-commerce, and service platforms) to confirm findings and spot new opportunities.

  • Simplify and standardize processes using Lean and continuous improvement methods, removing unnecessary steps, handoffs, and approvals.

  • Score opportunities on value, feasibility, and risk, and maintain a single ranked list that balances quick wins with larger projects.

Optimize and automate about 30% of time

  • Write clear business cases with expected savings, cost, success measures, and stop criteria for leadership approval.

  • Choose the right solution for each process: a process change, better use of existing systems, workflow automation, RPA, or AI. Never automate a broken process as-is.

  • Build simple automations, AI assistants, and prototypes directly using approved low-code and AI tools.

  • Define requirements for larger solutions and work with IT and delivery partners through pilot, testing, and launch.

  • Evaluate AI and automation tools and vendors, and recommend when to use existing platforms versus new ones.

Drive adoption across the company about 20% of time

  • Train employees and teams on approved AI tools and on new ways of working after each launch.

  • Build a network of AI champions in each department and share practical examples and success stories.

  • Run an intake process so employees and leaders can submit ideas, and respond to every submission.

  • Lead change management with department leaders, including updated procedures, training materials, and job aids.

Measure results and govern the work about 15% of time

  • Measure outcomes after launch against the original baseline, confirmed by the business leader and Finance.

  • Monitor processes and solutions after launch, and keep optimizing them, or retire those that are not delivering value.

  • Maintain a dashboard of the opportunity pipeline, work in progress, and validated savings.

  • Apply ScentAir’s AI use and data governance policies, and help update them as the program grows.

  • Report progress regularly to the VP of IT.

QUALIFICATIONS

  • Bachelor’s degree in business, operations, industrial engineering, information systems, or a related field, or equivalent experience.

  • 4 to 7 years of experience in business process analysis, operations improvement, or business systems analysis.

  • Proven experience leading process improvement, mapping business processes, and building ROI cases that leaders and Finance accept.

  • Working knowledge of AI and automation tools, and a practical sense of where each one fits.

  • Advanced Excel skills. Experience with Power BI or SQL is a plus.

  • Strong communication skills and credibility with people at every level, from front-line staff to executives.

PREFERRED

  • Experience in a mid-sized manufacturing, distribution, or service company.

  • Experience with Perplexity, RPA, or other AI and automation technologies such as Microsoft Copilot or Power Automate.

  • Exposure to ERP (Infor SyteLine a plus), Salesforce, or Shopify.

  • Lean, Six Sigma (Green Belt or higher), or business process management certification.

HOW SUCCESS IS MEASURED

  • First 90 days: Met with every function leader, built a company-wide process inventory, and delivered a ranked, costed automation roadmap with two pilots underway.

  • First year: Validated savings from process improvement and automation equal to two to three full-time roles of manual effort, confirmed by Finance.

  • Ongoing: A steady pipeline of employee-submitted ideas, AI champions active in every department, and measurable growth in use of approved AI tools.
